This is a full-time, twelve month, academic staff position reporting to the Director of Financial Aid and Military/Veteran Student Services. This position provides supervision and oversight for three financial aid counselors and several student employees and serves as the Director in the Director’s absence. The Assistant Director supports the goals of the Financial Aid Office by ensuring that the student/family experience of the Financial Aid Office is positive and welcoming. The Assistant Director oversees communications (in person, in print and through electronic media) to prospective/current students and their families regarding all aspects of applying for and receiving financial assistance to attend UWRF. This position includes managing one or more student financial aid programs as well as providing guidance to financial aid counselors in the management of programs for which they are responsible. The incumbent in this position will work collaboratively with University deans, department directors, faculty and staff members and will participate on various University committees.

Summary of duties and responsibilities:
40% Staff supervision: This position supervises 3 full-time financial aid counselors and several student employees in providing financial aid counseling services to prospective/current students and their families. Coordinates financial aid counseling staff participation in various events. Oversees student employee scheduling. Conducts annual performance reviews of supervisees. Provides training to counseling staff.
20% Regulatory compliance: Assists the Director to maintain compliance with financial aid program regulations. Maintains in-depth knowledge of financial aid program law, regulations, rules and best administrative practices. Monitors and evaluates office functions in the context of applicable Federal, State, NCAA, System and Institutional policies and regulations. Attends conferences, webinars and other training opportunities in order to maintain current program knowledge.
20% Major financial aid program management: Oversee the business process and perform all steps of program fund processing and management for a major financial aid program (for example, student loans, federal and state grants, federal work study, etc.)
10% Miscellaneous duties: Serve as back up time and absence approver for the Director. Attend University meetings in the place of the Director as needed. Assist with identifying, collecting and preparing data for annual and ad hoc reports and analyses. Maintain membership status and provide service for state and national financial aid associations as appropriate and with approval of the Director. Evaluate financial aid office operations and make recommendations for continuous improvement.
5% Annual aid year rollover: Assist in the planning of the annual Financial Aid system set up and aid year rollover process. Assist with the testing of system changes, new reports and queries as needed.
5% Other duties as assigned. Assist with other activities as assigned by the Director.
At least two years of recent experience working as a professional employee in the financial aid office of a college or university;
Experience counseling students in a financial aid office setting
Ability to navigate, read, understand and integrate information from multiple screens of a student information system and be able to convey that information to students and families
Knowledge of how to correctly modify student and family information in the financial aid module of a student information system;
Working knowledge of common U.S. Department of Education financial aid systems (i.e. EdConnect, FAA Access, COD, NSLDS)
Excellent time management, service and communication skills
Ability to work effectively with a wide variety of individuals across departments
Demonstrated awareness and sensitivity to diverse student populations and ability to contribute to the University’s commitment to enhancing student awareness and appreciation of diverse ethnic and cultural heritages.
Four or more years working in a college or university financial aid office;
Experience working in collaboration with other college or university student services areas (e.g. admissions, registrar, student billing or veterans services); and
Experience working in PeopleSoft Campus Solutions
